Mail Fulfillment Policy

1. Overview
DoneAfter lets you write messages and letters now for delivery later — by email notice, secure link, executor/attorney packet export, or physical mail. You choose recipients, addresses, triggers, and (where available) gift options. DoneAfter formats print-ready materials and operates an admin-reviewed fulfillment workflow. Automated third-party mail providers may be added later; if so, their terms apply in addition to this Policy.
2. Categories of delivery
2.1 Transactional email
Account, security, invite, check-in, and release-notification emails. Sensitive content is generally not placed in the email body; notices use secure links where appropriate.
2.2 Digital letters / messages
Released through the Service to authorized recipients under your release rules, often via expiring access grants.
2.3 Physical letters
Letter PDF, envelope/label materials, batching, printing, postage, and mailing status tracking through our queue (statuses such as draft → scheduled → queued → printed → mailed → delivered / returned / failed / canceled).
2.4 Gifts After
Physical or digital gifts armed now and fulfilled on a date or verified event, subject to product availability, payment, and recipient data quality.
3. After-death vs scheduled non-death items
- After-death letters and sensitive releases: Require a verified trigger and human review before printing/mailing or vault release, as described in the Executor Verification Policy.
- Non-death scheduled items (e.g., a future birthday letter the user explicitly configured not to require death verification): May proceed on the scheduled date/event still subject to any other release rules (such as age gates) and operational review for physical mail.
4. Address accuracy — your responsibility
You (and, where relevant, your contacts) are responsible for providing and updating accurate recipient names, email addresses, and mailing addresses. DoneAfter is not responsible for non-delivery, delay, or misdelivery caused by incorrect, incomplete, or outdated information, recipient relocation, or mail forwarding failures.
5. Operational realities and limitations
Email and postal systems are operated by third parties. Delivery can be affected by spam filters, blocklists, carrier delays, customs, weather, labor disruptions, war, natural disasters, incorrect postage, or regulatory restrictions. We do not control those systems.
Print quality, paper, envelopes, and international mailing options may be limited by plan, geography, or operational capacity. Postage and fulfillment fees may apply as disclosed in your plan or at purchase.
6. Review queue (current MVP model)
Physical letters are processed through an admin-reviewed queue: PDF generation, batching, print, mail, status updates, and optional proof-of-mailing uploads. We may delay or cancel mailing when verification is incomplete, fraud is suspected, content violates the Acceptable Use Policy, addresses fail validation, or legal holds apply.
7. Tracking, returns, and failures
Where available, we record mailing status and returns. Returned mail may be logged; re-mailing may require an updated address and may incur additional costs. “Delivered” status, when shown, reflects carrier or operational marks and is not a warranty that the intended person personally received or read the contents.
8. Content standards
Letter and gift message content must comply with the Acceptable Use Policy. We may refuse to print or mail unlawful, abusive, or fraudulent content.
9. Privacy
Recipient addresses and letter bodies are sensitive. They are protected under our Privacy Policy and Security Policy. Authorized staff access for fulfillment is limited and logged. Address data exported for printing is handled only as needed for fulfillment.
10. Future providers
If we integrate postal APIs or fulfillment partners, additional provider terms, SLAs, and privacy disclosures may apply. We will update this Policy or product notices accordingly.
11. No consequential reliance
Do not rely on DoneAfter mail or email as the sole method for time-critical legal notices that must meet statutory service requirements. Use counsel and formal service methods when the law requires them.
